Key points
- Check the GST logic first: tax type, rates, HSN and notes.
- Then check returns: GSTR-1 and GSTR-3B data, and GSTR-2B matching.
- Make sure it supports e-invoice and e-way bills for when you need them.
- Look at stock, offline use and support, not just billing.
- Confirm which plan includes what you need.
The 12-point checklist
| # | Check | Why it matters |
|---|---|---|
| 1 | Picks CGST/SGST or IGST from place of supply | Wrong tax type means reissued bills |
| 2 | HSN code and rate on every item | The rate depends on the code |
| 3 | Invoice formats with all required fields | Customers need valid invoices to claim credit |
| 4 | Credit and debit notes linked to bills | Returns and price changes must be reported correctly |
| 5 | GSTR-1 data as JSON and Excel | Faster filing, cleaner CA work |
| 6 | GSTR-3B summary | Know your tax before the portal shows it |
| 7 | GSTR-2B reconciliation | Protects your input credit |
| 8 | E-invoice and e-way bill support | Needed above ₹5 crore and for goods over ₹50,000 |
| 9 | Stock that updates with bills | Billing without stock creates double work |
| 10 | Works offline or on weak internet | Billing can’t stop when the internet does |
| 11 | Support in your language | Quick answers on busy days |
| 12 | Clear plans and data export | No surprises, no lock-in |
Test it with a real scenario
- Bill a local registered customer Check CGST and SGST and the customer’s GSTIN on the bill.
- Bill a customer in another state Check IGST and the place of supply.
- Issue a credit note For part of that bill, and see it linked.
- Export GSTR-1 And see where each bill landed.
Questions to ask the vendor
- How do you handle GST rate changes, and is there a charge?
- Which plan includes e-invoicing and reconciliation?
- Can I export all my data at any time?
- What happens to billing if the internet goes down?
Billing app or full ERP?
A simple billing app may be enough for a tiny shop. If you track stock, buy from many suppliers or plan to grow, choose software that includes stock, purchases and accounts, so GST data comes from one place. See ERP vs accounting software.
